Become a Contract Instructor!
If you are interested in becoming a Contract Instructor with the Newport Beach Recreation & Senior Services Department, please read below to address some commonly asked questions and submit an application for consideration.
Anyone interested in becoming an instructor must complete the Contract Instructor Application.
The application process is very thorough and can be lengthy. Timeline from initial contractor meeting to achieving approved Contract Instructor status can vary from 3-4 months, depending on the how quickly and accurately paperwork is completed and returned. Applications are kept on-file for one year. Submitting an application does not guarantee becoming a Contract Instructor.
Requirements may vary depending on the nature of the program. General requirements include:
- Liability insurance coverage of $1,000,000
- Those working with minors will be required to obtain additional Sexual Abuse/Molestation (SAM) coverage
- A City of Newport Beach Business License
- Background check and fingerprinting for all staff and volunteers
The City retains a percentage of registration fees collected. Different percentages include the ones listed below where the left-hand number indicates the percentage of activity fees a contractor could expect to collect. The City additionally collects an administrative processing fee of $5/transaction and a non-resident fee which are not reflected in the percentage split.
- 65/35: This is our standard split for all classes and camps at City facilities and parks.
- 70/30: This percentage is offered for programs held at OASIS, a non-City facility, or at beaches operated by the City.
- 80/20: This percentage is available to qualified organizations offering programs designed for those with Special Needs, private lessons, or for classes offered through our After Class Enrichment (ACE) programs at school sites throughout the City.
Once a complete application has been submitted, you can expect:
- Our team will review a new application to assess for a variety of things, including program demand, facility or amenity availability, and existence of duplicate offerings or services.
- An informal interview may be scheduled with City staff to ensure our teams are a good fit for one another and the proposed program aligns with our Department needs.
- If interested, our team will contact two professional references.
- All collected information will be reviewed by our management team.
- If approved, the organization's authorized signatory will be invited to schedule a fingerprint and background check through the Newport Beach Police Department.
- Once cleared, our Administrative Support Specialist will send paperwork up to the City Attorney's office to generate a contract.
- We will schedule an ~hour long meeting to review a new contract and initiate the process of collecting all necessary supporting documents including business license, signed contract, and proof of insurance.
- When contracts and required paperwork are submitted and approved, a profile will be created for in our registration software, ActiveNet, and the new contractor will be invited to submit a class proposal for the upcoming season.
